Use this migration checklist when moving from QuickBooks Desktop to QuickBooks Online (QBO) to ensure nothing gets overlooked.
Before Migration
Verify that your Desktop version supports export (2013+ for most U.S. editions).
Update Desktop to the latest release.
Reconcile bank, credit card, accounts receivable, and accounts payable.
Clean up any unused items, customers, vendors, and classes.
Run a file integrity check and fix any errors.
Create a backup and export the portable company file.
During Migration
Log into QBO and go to Settings, then Import Data, then QuickBooks Desktop.
Upload the .qbb or .qbm file.
Select the data sets: chart of accounts, lists, open balances, pricing levels.
Follow the prompts; migration takes 15 to 60 minutes based on file size.
After Migration
Reconcile ending balances up to your last Desktop reconciliation date.
Review transactions for errors or missing entries.
Confirm that payroll, inventory, and tax information transferred correctly.
Recreate report templates using Jet Reports or QBO custom reports.
Set up bank feeds and connected apps like payment, bill pay, and time tracking.
Train staff and assign user roles.
Post-Migration
Keep your Desktop version for at least 3 months as a reference.
Monitor monthly balance sheet and profit and loss reports for discrepancies.
Schedule quarterly reviews with your accountant to improve workflows.
